01. Describe the function before the mechanism

Explain the user, input and intended output. Include the operating environment, approximate size and any fixed interfaces. A sketch can help communicate the idea, but it does not need to be a finished design. Identify which requirements are essential and which can change during development.

02. Use feasibility to resolve the important unknowns

A technical assessment and preliminary layout can compare practical operating principles, component choices and manufacturing approaches. The purpose is to identify a development route and the information still needed. Detailed design, testing or specialist process input can be quoted where the uncertainty requires additional work.

03. Define what the prototype must demonstrate

A functional prototype might demonstrate motion, delivery, handling or a user interaction. Agree representative samples and operating conditions. Separate the core function from appearance, records and optional features so the first build has a clear review objective.

04. Review the layout before releasing parts

Check access, loading, component interfaces and assembly before manufacture. Work with the intended electronics or controls team where relevant. Record the agreed design revision and which decisions require customer approval.

05. Plan trials and the next decision

Define how the function will be reviewed, who will review it and which results mean the prototype meets its objective. Record changes and unresolved issues. A successful prototype can then lead to a separately scoped final design or small-series build; it does not automatically prove durability or market readiness.

06. Agree documentation and commercial scope

Identify deliverables, revisions, updates and payment milestones in the project proposal. An NDA can be agreed before detailed sharing. Manufacturing drawings and their permitted use can be supplied under additional contractual conditions. Use the editable requirements document to prepare the first discussion.
