01. Start with the product and the operation
Describe what enters the machine, what must happen to it, and what should leave the machine. Include product dimensions, material, variation between products and any handling restrictions. A short video of the current operation often explains more than a long introduction.
02. Define output and quality together
State the required output and the quality checks that matter. Explain whether the output is a target, a minimum or an estimate. Include batch sizes, product changeovers and the expected operating pattern. Cycle time alone is not enough if feeding, loading or downstream handling limits the process.
03. Share the physical constraints
Include the available footprint, access for loading and maintenance, utilities, and connection points to existing equipment. Note the operating environment and cleaning needs. Layout constraints should enter the design early, before a mechanism is committed.
04. Separate essentials from preferences
Identify functions that are necessary and features that are optional. If you have a preferred component brand, material or control interface, explain why. This helps evaluate alternatives and prepare an offer with a clear base scope and separately priced options.
05. Agree how the result will be checked
Acceptance criteria should describe the agreed operation under defined conditions. Discuss sample products, test duration, output measurement and responsibilities. Prototype testing, factory review, delivery and site commissioning may require different checks.
06. Send a short brief first
Share the process, product, target output, location and desired timing. Include non-confidential drawings, photographs or a video link when available. If detailed information is sensitive, agree confidentiality arrangements before sending it.
